Welcome to Total PDF

Total PDF is a comprehensive PDF app that combines PDF Reader, PDF Editor, PDF Annotator, PDF Creator, and PDF Converter into one powerful suite of tools. With Total PDF, you can merge or split PDF files, reorder pages, convert PDFs to Office documents, create PDFs with images, fill and sign PDF forms, print PDF documents, apply stamps, and perform various other tasks with ease.
 
This product help file explains how each major function works so that you can get the most out of the application.

Launch the application

Follow these steps to launch Total PDF:

  • Press the Windows Start button or click Start
  • Type “Total PDF” in the search box
  • Locate the application entry “Total PDF” from the search results
  • Click the application “Total PDF” with this icon 

Once Total PDF is launched, a Welcome screen will appear, displaying feature highlights. To review the complete feature list, simply click the link that says ‘Learn more about product features…’.

Open PDF files

To open a PDF file, you have two options:

  1. With the application open, locate the PDF file in Windows Explorer and drag it to the rectangle marked with the + | Open button under the Home label.
  2. From the Home page, click the + | Open button, select the PDF file from the Open file dialog box, and click OK.

Once the PDF file is opened, its content will be displayed in the Viewer window, which offers a wide range of features that will be introduced in the following sections.

To exit the viewer, simply click the left arrow () icon located at the left end of the title bar.

View or print PDF files

The Viewer window allows you to view the content of your PDF files. You can open multiple PDF files simultaneously by clicking the + sign in the tab area at the top.

To navigate through the pages, you can use your mouse wheel or the Page Down/Up keys. Additionally, there is a floating page view control located in the top right area of the window. You can use it to jump to a specific page by entering the page number.

In the side toolbar of the Viewer window, you will find three useful navigation functions:

  • Bookmark : Allows you to quickly access bookmarked sections within the PDF.
  • Annotations : Provides a list of all annotations created for the PDF for easy navigation.
  • Thumbnail View : Displays a grid of miniature page previews for quick visual scanning.

To print the PDF file, simply click the Print icon on the Viewer toolbar and follow the provided instructions.

Edit and annotate PDF files

In the Viewer window, you can utilize a rich set of annotating tools to draw, annotate, and edit your PDF files. These tools include:

  • Highlight : Emphasize important text within the PDF files.
  • Underline : Mark notable text by adding an underline.
  • Freehand Drawing : Sketch or write freehand on the pages of the PDF files.
  • Lines, Rectangles, Ellipses, and Circles: Add geometric shapes to your PDF files.

Furthermore, you have the flexibility to move, resize, remove, or edit the color of any drawing or annotation tool to suit your preferences and needs.

Merge PDFs

Total PDF makes it easy to merge two or more PDF files. The merge function can be accessed from either the side Navigation toolbar  or from the Main window. 

To merge PDF files:

  • Use the Add PDF Files button to browse and add PDF files in the sequence of how they will be merged 
  • In case you need to remove a PDF file from the merge list, select it by checking the selection box located at the top-right corner of the file’s thumbnail in the merge file list. Then click the Remove Selected File button or Remove All Files button .
  • The merged content can be previewed in the viewer window on the right, concatenating all pages together in sequence of the file added
  • Once ready, click the Save Merged PDF button to create the merged PDF file

Split PDF

In Total PDF, you have the option to split or extract pages from an opened PDF file. Access the split function from the side Navigation toolbar or from the Main window. There are two options available:

  1. Split a PDF into single pages and save them as individual files.
  2. Extract a specific page as specified.

To initiate the splitting process, simply click the “Split PDF” button.

Convert PDF to documents

Total PDF offers a comprehensive set of PDF conversion tools that allow you to convert PDF files to various formats such as Word, Excel, PNG, RTF, Text, HTML, and XML. With these conversion functions, you can batch convert multiple PDF files at once.

To access the Convert PDF to Docs feature set, you can either use the Navigation toolbar or go to the Main window. From there, select the desired output file type for the conversion.

Regardless of the output file type, the conversion workflow remains almost identical. Let’s take PDF to Word as an example:

  1. Click the Add Files… button to add one or more PDF files for conversion. During the process, remove any or all files if needed. 
  2. Choose how you want to store the converted files. You can either place them in their respective source folders or gather them all in a single folder.
  3. Additionally, you have the option to use the OCR feature, which enhances character recognition capabilities based on the chosen language set.

Click the Convert button start the conversion process.

Convert documents to PDF

Vice versa, you can also batch convert various file formats, including Word, Excel, images, PowerPoint, RTF, and text, to PDF.

To access the Docs to PDF feature set, you can either use the Navigation toolbar or go to the Main window. From there, select the desired output file type for the conversion. The conversion workflow remains almost identical. Let’s take Word to PDF as an example:

  1. Click the Add Files… button to add one or more Word files for conversion.
  2. Choose how you want to store the converted PDF files. You can opt to keep them in their respective source folders or consolidate them in a single folder.

Click the Convert button start the conversion process.

Fill forms

Use Total PDF to open, fill, save, and print PDF forms. The Fill Form feature can be accessed from the Navigation toolbar or the Main window.

PDF forms are opened in the viewer window just like regular PDF files. Simply click on any editable fields within the form and enter the required content. Once you have filled out the form, you can use the Save feature to save your changes or the Print feature to print out the completed form.

 

Office, eBook, and image viewers

Total PDF includes embedded file viewers for commonly used office documents and files. These viewers support the following file formats:

– Office files: Word (DOC, DOCX), Excel (XLS, XLSX), and PowerPoint (PPTX)
– eBook files: EPUB and MOBI
– Image files: PNG, JPG, BMP, ICO, GIF, and TIFF

With Total PDF, you can conveniently view these file types without the need for external applications.
